SSR Badge Automation

Managing the lifecycle of vendor badges is a highly repetitive but critical task that often requires intense manual coordination across multiple platforms. From extracting images and validating credentials to updating CRM records and sending congratulatory emails, the potential for human error and administrative delay is high, often slowing down the recognition of key partners and creating a massive time sink for the operations team. To solve this, we built SSR Automations, an end-to-end system designed to manage the entire vendor badge lifecycle with zero manual intervention. The automation acts as a seamless bridge between Asana, HubSpot, and Google Workspace. The system is triggered the moment a badge is awarded in Asana. It automatically extracts the badge image, uses OpenAI to validate its authenticity, and uploads it to a secure drive with a public URL. Simultaneously, it syncs the vendor data with HubSpot CRM and updates a master Google Sheet for real-time reporting. Finally, it sends a personalized congratulatory email to the vendor, tracking the entire process with a clear audit trail. This multi-scenario architecture ensures that every step is handled with precision and speed. The result is a total elimination of the administrative burden associated with vendor recognition. By automating the entire badge pipeline, SSR Automations has significantly accelerated the recognition cycle, ensured data consistency across all systems, and allowed the team to focus on building stronger vendor relationships rather than managing digital paperwork.
